Symplee Technologies Ltd ("Symplee", "we", "us", "our") is the data controller for personal data collected through the Symplee platform. We are committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

2. Data we collect

We collect the following categories of personal data when you register and use Symplee:

Account data: your name, email address, business name, company type, and account type (individual or business).

Payment data: transaction amounts, descriptions, payment types, and receipt references. We do not store card numbers or sensitive payment details — these are handled entirely by Stripe.

Usage data: pages visited, features used, login timestamps, and device information collected through standard server logs.

3. How we use your data

We use your personal data to provide and improve the Symplee Service, process your subscription payments, send you service-related communications, and comply with our legal obligations.

We do not sell your personal data to third parties. We do not use your data for advertising purposes.

4. Legal basis for processing

We process your personal data on the following legal bases: performance of a contract (to provide you with the Symplee Service), compliance with a legal obligation, and our legitimate interests in operating and improving the Service.

5. Data sharing

We share your data with Stripe Inc. for payment processing purposes. Stripe acts as a data processor on our behalf and is bound by its own privacy policy and data processing agreements. We may also share data with our hosting providers, Railway and Vercel, solely for the purpose of operating the Service.

We will disclose your data to law enforcement or regulatory authorities if required to do so by law.

6. Data retention

We retain your account data for as long as your account is active. If you close your account, we will delete your personal data within 90 days, except where we are required to retain it for legal or regulatory purposes.

Payment transaction records may be retained for up to 7 years for accounting and tax compliance purposes.

7. Your rights

Under UK GDPR you have the right to access your personal data, correct inaccurate data, request deletion of your data, object to processing, and request data portability. To exercise any of these rights, please contact us at support@symplee.co.uk. We will respond within 30 days.

8. Security

We implement appropriate technical and organisational measures to protect your personal data against unauthorised access, loss or destruction. These include encrypted data transmission (TLS), hashed password storage, and access controls.

9. Changes to this policy

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by displaying a notice on the Symplee dashboard. Continued use of the Service after changes constitutes acceptance of the updated policy.
